Job Summary (Essential Functions)

The Human Resources (HR) Coordinator will report to the HR Manager. The HR Coordinator is the hands-on representative of the Human Resources Department whose job is to help facilitate all basic Human Resources functions. The HR Coordinator's responsibilities include processes regarding on-boarding and off-boarding of employees, employee changes, submission of documentation to payroll, certification/licensure tracking, administrator for Halogen and HealthStream, new employee orientation, and training support.

  • Provides administrative support to HR Manager and Vice President of HR, i.e. special projects as assigned, creating Power Points, running and analyzing reports, etc.

  • Demonstrates knowledge of and adherence to the Compliance Plan and conflict of interest requirements.

  • Enhances the effectiveness, efficiency and productivity of the Human Resources department by contributing to, and participating in PVCHC and departmental quality, hospitality and performance improvement goals.

  • Participates with the Human Resources team in assuring completion of Peak Vista's quality improvement projects.

  • System administrator of Halogen and HealthStream, i.e. running and analyzing reports, data entry of employee information, resetting passwords, troubleshooting, liaison with vendor and employees, setting up and monitoring of processes and classes, etc. (to include Quarterly Conversations and Rapid Regulatory).

  • Administrative maintenance of HR operations software systems (ADP and Compliance 360), i.e. running and analyzing reports, data entry of employee information, resetting passwords, troubleshooting, etc.

  • Communicate with internal and external customers and vendors in a professional manner.

  • Schedules, monitors, and is the department liaison for New Employee Orientation.

  • Assembles new hire packets and maintains inventory of copies and booklets.

  • Performs training regarding HR software systems in New Employee Orientation.

  • Performs on-boarding process to include completion and collection of required paperwork and verification of I9 documentation in compliance with federal and/or state government requirements.

  • Performs off-boarding process.

  • Tracks required HR documents, i.e. training plans, performance evaluations, professional licenses, RMA certificates, CPR, assigned training, etc. to ensure compliance with regulatory agencies.

  • Tracks online and live HR and Clinical classroom training, emails training information/meeting invitations, creates and records attendance rosters, etc.

  • Prepares and audits payroll transactions: promotions, transfers, employee changes (i.e. compensation, manager, department, positions, etc.) bi-weekly, ensuring timely and accurate data entry into ADP, Footprints, etc.

  • Liaise, schedules, and proctors Spanish testing for eligible employees.

  • Closely monitors, manages, and orders administrative supplies for the Human Resources department.

  • Maintains Hospitality Award program to include coordination with Executive Team.

  • Maintains personnel files (active and termed).

  • Responsible for document retention and destruction within the federal and/or state government requirements.

  • Responsible for maintaining and updating the Share Point site for the department.

  • Participates in PI/QI activities utilizing FOCUS/PDSA and AAHC benchmarking/feedback.

Qualification

Education: High School diploma or GED required.

Work Experience: Two years general office experience is required, 2 years human resources experience is preferred.

Cognitive Skills (Language, Math, Reasoning Ability): Excellent written and verbal communication skills, good math skills, good reasoning and critical thinking abilities required.

Computer Skills: Intermediate to advanced level of experience with Word, Excel, Microsoft Outlook, PowerPoint is required. Experience with data base software is preferred. Internet search skills desired.

Other Skills: Ability to manage projects as well as short-term assignments, prioritize multiple tasks; working knowledge of regulations and legal implications in human resources preferred. Working knowledge of common office equipment, e.g. printers, copiers, scanners.

Physical Demands

Frequent standing and walking, occasional long periods of sitting, moderate bending, moderate energy requirements, and frequent fine motor skills. Looking at computer screen continuously for long periods of time, hearing within normal range. Must be able to lift 20 pounds.
